Project Manager vs Contract Administrator

Updated: 7 days ago
The two roles overlap but they are not the same, and mixing them up can leave gaps in who is responsible for what.
Here is how they differ and when each is needed.
The project manager
Looks after the project as a whole: team, time, cost and risk from brief to handover. They work for the client and keep the whole process moving.
The contract administrator
Administers the building contract once the contractor is appointed. That includes valuations, instructions, certificates, extensions of time and the final account.
Where they overlap
Both deal with cost, programme and communication. On small projects one person often does both, as long as the appointment is clear.
Why roles must be defined
Without clear roles, nobody may issue instructions, certify payments or manage changes. Written appointments avoid this.
Choosing for your job
Small works may need only one person. Larger or more complex jobs often benefit from separating the roles or from a consultancy that covers both.
